Definition
An AI agent is software that can perceive its environment, reason about what it observes, make decisions, and take actions autonomously. Unlike a chatbot that responds to prompts or a workflow that follows predefined rules, an agent operates with a degree of independence within defined boundaries.
The key characteristics that distinguish an AI agent from simpler AI applications:
Perception. An agent observes its environment. In a business context, this means monitoring Slack channels for messages, watching GitHub repositories for new issues, tracking changes in Notion databases, or reading emails as they arrive.
Reasoning. An agent processes what it observes and applies judgment. It does not just pattern-match against rules. It understands context. A message in Slack might be a bug report, a feature request, a question, or a complaint. An agent determines which one based on the content, the sender, and the context of the conversation.
Action. An agent takes actions in response to its reasoning. It creates tickets, sends messages, updates databases, notifies team members, or escalates issues. These actions happen within the agent’s environment, the same tools your team uses every day.
Autonomy. An agent operates independently within its defined scope. It does not wait for a user to prompt it. When it detects something that needs attention, it acts. How AI agents differ from other AI tools
AI agents vs. chatbots
A chatbot waits for input and generates a response. You type a question; it types an answer. The conversation is transactional and stateless (or weakly stateful). ChatGPT, Custom GPTs, and most customer support chatbots are chatbots.
An AI agent operates in your environment without waiting for input. It monitors events, makes decisions, and takes actions proactively. A chatbot can tell you what to do about a bug report. An agent triages the bug report, creates a ticket, assigns it to the right developer, and notifies them in Slack.
AI agents vs. copilots
A copilot augments human work in real time. GitHub Copilot suggests code as you type. Microsoft Copilot drafts emails when you prompt it. Copilots are reactive: they enhance what you are already doing.
An AI agent handles tasks independently. It does not need you to be working for it to work. A copilot helps you write the status report. An agent generates the status report automatically from data across your tools and posts it every Monday morning.
AI agents vs. workflow automation (Zapier, n8n)
Workflow automation follows predefined trigger-action rules. “When a form is submitted, send an email.” The workflow cannot handle exceptions, interpret ambiguity, or make judgment calls. If the trigger does not match exactly, nothing happens.
An AI agent applies intelligence to the workflow. It can handle messages that do not fit neat categories, ask for clarification when instructions are ambiguous, and adapt its behavior based on context. Key considerations when evaluating AI agents
